Who we are
Librum is a UK bookkeeping service. We are the data controller for the information you give us. Contact: tanuj.kakumani2@gmail.com.
What we collect
- Your name, email, phone number and what kind of work you do, when you sign up or leave your details.
- The receipts, invoices and bank statements you send us, and the figures we take from them.
- Notes our team write while checking your records, and messages between us.
Why we use it
To keep your business records in the form HMRC requires under Making Tax Digital, to prepare your quarterly summaries, and to contact you about your records. The legal basis is the contract between us, and our legitimate interest in running the service. We do not sell your data or use it for advertising.
Who sees it
- Our trained reviewers, who only see the clients they are assigned to.
- Supabase (database and file storage, encrypted) and Vercel (hosting), which process data on our behalf.
- Anthropic, whose AI reads each document to extract the figures before a person checks them. Documents are sent for processing only and are not used to train AI models.
- Stripe, if you pay a deposit. We never see your card details.
- HMRC, only if you later ask us to submit on your behalf and authorise us to do so.
How long we keep it
HMRC requires business records to be kept for at least 5 years after the 31 January filing deadline of the tax year they relate to. We keep your documents and records for that period, then delete them. If you leave before then, we give you a copy and keep only what the law requires.
Your rights
You can ask for a copy of your data, ask us to correct it, or ask us to delete anything we are not legally required to keep. Email tanuj.kakumani2@gmail.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
Security
Files are stored in a private, encrypted bucket. Your upload link is a long random code that only you have. Our team logs in with individual accounts and every change they make is recorded.
